Privacy Policy

Who we are
Pokemon Collection is an independent fan community operated by Brandon Meadors. This policy covers our website, accounts, trading tools, Pip activities, and HOME refill service. Contact support@pokemoncollection.net with privacy questions.
Information we collect
We collect the name and email you provide, account sign-in information, and records needed to operate your account. When you use our services, we store trade requests and outcomes, trainer details such as OT, TID and SID, uploaded Pokémon files, Pip progress, inventories, purchases, membership status, and support or refill messages. Our hosting and security providers may process IP addresses, device/browser information, request logs, and security signals.
Connected memberships
If you connect Google, Patreon, or Discord, we receive the account identifiers and information needed for that connection. Patreon membership information and Discord server roles help us verify benefits. YouTube membership verification uses the roles assigned in our Discord server. We store connection tokens to refresh membership checks. Connecting Discord does not give us access to your private Discord messages.
How we use information
We use this information to sign you in, verify memberships, run trades and refills, save your progress, fulfill purchases, send account and service notifications, respond to support requests, and prevent abuse. Public features such as leaderboards may show your trainer/display name, rank, score, badges, and character appearance.
Payments and service providers
Stripe processes website payments; we receive transaction references, amounts, payment status, and fulfillment records, rather than your full card number. We use Render and Cloudflare for hosting, storage, delivery and security; Resend for automated emails; Google Workspace for support email; and Google, Patreon, and Discord for features you connect. These providers process information needed to provide their services and have their own privacy policies.
Refills and QR codes
Authorized refill staff and the owner can see your request, membership tier, messages, and the details needed to complete your refill. Staff notifications may be sent through Discord. QR uploads are used for the Nintendo-account linking step of your refill, stored encrypted, and made available only to authorized participants. The website limits QR access to ten minutes and removes expired uploads when cleanup runs. Replacing a code or completing certain handoff steps also removes the active upload. Do not send passwords, recovery codes, or unrelated personal information.
Cookies and browser storage
We use cookies and similar storage for sign-in, security, staging access when applicable, and preferences such as theme and audio. Blocking these can prevent some features from working. External services you choose to open apply their own cookie and privacy practices.
Retention and security
We retain account, service, and transaction records as needed to operate the service, resolve disputes, prevent abuse, and meet applicable obligations. Standard received-Pokémon downloads expire after 24 hours; expired records are removed when cleanup runs. Recovery files can follow separate availability periods shown by the service. Backups and provider logs can retain earlier data beyond its removal from the active site. We use access controls and other safeguards, but no online service can guarantee absolute security.
Your choices
You can disconnect Patreon or Discord from My account; disconnecting does not cancel a paid membership with that provider. Email support@pokemoncollection.net to request access, correction, or deletion of your account information, or to raise a privacy concern. We may need to verify ownership. Some records may need to be retained for security, transaction, or legal reasons. Depending on where you live, you may have additional privacy rights, including the right to complain to your local data-protection authority. Providers may process data outside your country.
Children and updates
If you believe a child has provided information without appropriate permission, contact support@pokemoncollection.net so we can investigate and address it. We may update this policy as the service changes and will identify the updated version on this page. Material changes will be communicated as required by applicable law.
